Before anything else, learn this test. Open your design on screen at 100% zoom of a scaled proof, print it on A4, tape it to a wall, then step back 3 metres (roughly 10 feet). Now ask three questions:
- Can I read the main message without squinting?
- Do I know what the company does within 3 seconds?
- Do I know what I am supposed to do next?

Layout: the safe zone nobody talks about
A roll-up is 2 metres tall, but you do not get 2 metres of usable space. Two areas are effectively lost:
- Bottom 250 to 400 mm: hidden by the cassette, by a table, by a chair, or by the people standing in your booth. Never put your phone number or QR code there.
- Top 100 to 150 mm: can curl slightly, sits above natural eye level, and is often lost behind lighting rigs or truss.

Converting cap height to point size
Design software uses point size, not cap height. As a working rule, cap height is roughly 70% of the point size in most sans-serif fonts. So:
- Target cap height 80 mm, divide by 0.7 = about 114 mm of font size
- 1 cm = 28.35 pt, so 114 mm is roughly 323 pt at full scale (or 32 pt if you are designing at 1:10)
Always measure the printed letter with a ruler on a proof rather than trusting the point value alone. Condensed and light fonts lose a lot of legibility at distance.

- Use a medium or bold sans-serif for headlines. Hairline weights disappear under hall lighting.

A useful discipline: your banner is a billboard, not a brochure. If a sentence needs a comma to work, it is probably too long. Cut features and write outcomes. “ISO 9001 certified thermoforming solutions” says nothing to a passer-by. “Trays that keep food fresh 5 days longer” stops them.
The one-message rule
If you sell five product lines, do not squeeze all five onto one banner. Either pick the one that matters most for that specific show, or print a set of banners, one message each, and line them up. Three clean banners always outperform one crowded one.
Where to place the logo and the CTA
Logo placement
- Top of the banner, within the upper 300 mm, centred or aligned with your headline. It stays visible above heads and equipment.
- Size it at roughly 15 to 20% of the banner width. Bigger than that and it steals space from your message.
- Use it once. A logo repeated at the top and the bottom of the same banner looks like a template that was never finished.
- If your brand is unknown, the logo is the least important element. What you do matters more than who you are, so give the headline the visual priority.
CTA placement
- Place it in the action band, 500 to 900 mm from the floor, high enough to clear a table but low enough to feel like an invitation.
- Give it a contrasting shape: a solid button block, a coloured strip, or a framed panel. It should be the second thing the eye lands on.
- Make it an action, not a URL. “Ask for a live demo”, “Scan to book a slot”, “Take a sample, stand B24”.
- QR code sizing rule: minimum module size aside, a good approximation is that a QR code can be scanned from about 10 times its width. A 60 x 60 mm code scans from roughly 60 cm, which is right for a visitor standing at your stand. Print it at 80 to 100 mm if people will scan while walking past.
- Test the QR code with three different phones on the actual printed proof, not on screen.

Colour, contrast and imagery
- Contrast beats colour. Dark text on a light background, or light text on a deep solid, always outperforms mid-tone on mid-tone. Aim for a contrast ratio of at least 4.5:1, the same benchmark used for web accessibility.
- Avoid pure white backgrounds if the hall walls and neighbouring stands are white. A saturated brand colour block gives you separation in the aisle.
- One hero image, cropped tight. A product close-up or a human face works better than a stock photo of a handshake or a generic office.
- Check the resolution: at final size you need 100 to 150 dpi for a roll-up viewed from a metre or more. Enlarged web images at 72 dpi will look soft and cheap.
- Remember the finish. Matte or anti-glare media is worth the small extra cost under spotlights, because glossy laminate mirrors hall lighting and kills readability from an angle.
